What is this?
What is Nextcloud — and why at xaweho?
Nextcloud is an open-source cloud suite. It does what Google Workspace, Microsoft 365 and iCloud do — sync files, share calendars, keep contacts in step, edit documents together — but you decide where the servers sit and who gets access.
The catch with Nextcloud is that you have to run it yourself. Setting up servers, PHP tuning, MariaDB replication, updates, backups, SSL certificates, an S3 storage backend — quickly a full-time job for someone who never wanted one.
We take that off your hands. You pick a plan, get access to your own Nextcloud right away, install apps like on a smartphone, and updates happen quietly in the background. The hardware sits in our racks in Düsseldorf at rackSPEED, backups land in Nuremberg or Falkenstein.

Every plan includes the full Nextcloud suite with Office, calendar, contacts and all apps. The only difference is storage — and that larger plans have more performance headroom when you and twenty other people are editing away at the same Excel file. All prices include 19% German VAT, no setup fee. Billed in advance, depending on the plan: Solo and Family quarterly; Family+, Team and Practice monthly. The minimum term matches the billing interval, renewal is automatic for the same period, with 7 days' notice before the period ends. 10% off all plans with yearly prepayment — on request via ticket.

For larger conferences — general assemblies with 300+, conference days with several parallel sessions, online congresses — we procure suitable hardware on request or build a BBB cluster with a load balancer. Tell us the participant count, how often, recording yes/no, and whether it's a one-off or continuous operation. We'll work out a fitting setup and get back to you with a concrete price.
What “up to X participants” really means
In BBB, not all participants cost the server the same: listeners barely use resources. Anyone with a live microphone uses noticeably more. Anyone streaming a camera on top uses the most. We deliberately sized the hardware generously — the stated maximums hold even when every participant has microphone and camera on at the same time. That's not theory under lab conditions; it's the design case.

School class, everyone active
A teacher plus 20-25 students, all with camera and microphone. Classic online teaching. BBB Pro (25 participants) is built exactly for this — the 8 vCPU / 16 GB RAM carry it reliably, even with whiteboard sharing and a screen presentation in parallel.
Club general assembly
One board member speaks, 100-150 members listen, cameras mostly off, microphones muted except for the floor. Here a smaller tier than the raw participant count is often enough — with this profile, even BBB Power reliably handles 150+ participants.
Team meeting, everyone active
A mid-sized company, 50-70 people, all with video and audio. That's the stress case, because many simultaneous cameras pull CPU and bandwidth. BBB Power (12 vCPU / 32 GB) handles it.
Online workshop with a Q&A round
A speaker plus 100+ listeners, questions patched in one at a time. In this webinar mode the effective load is low — BBB Power or Max handle it with ease, often well beyond the nominal participant count.
Rule of thumb: book the plan that matches your worst-case participant count (everyone with video and audio at once). For classic lecture-hall setups (one speaker, many listeners) you can comfortably go one tier lower. For classic classroom setups (everyone active), stick with the plan size that matches the class size.
Participant bandwidth: we provide the server, but your participants need a decent line too — a few Mbit/s up and down per person with a camera. If someone joins over mobile data on a commuter train, the best server hardware won't help.

What you should know before you order
- ! Participant counts are a guideline, not an SLA. Performance also depends on your participants' bandwidth. With very many active cameras at once, things can get tight.
- ! Recordings are deleted after 60 days. If you want to archive them longer, download them to your own Nextcloud — two clicks in the BBB app.
- ! No custom domain. Always
.konferenz.re. Since the BBB server disappears behind the Nextcloud integration in practice, end users rarely see the URL anyway. - ! No individual customization. We run the BBB servers in a standardized way — no SSH, no root, no custom configuration. That's deliberate: it's the only way we can roll out BBB updates automatically and without breakage. If you need a special BBB configuration, ask us about a custom setup.
- ! Standard packages up to 150 participants. Larger conferences are possible, but not off the shelf — we procure suitable hardware or build a cluster. Talk to us first, and we'll discuss setup and price.

If you run your own Nextcloud today or host one elsewhere, we handle the complete import for a flat €49: Nextcloud configuration, database and data directory. Either you give us a backup or SSH access to the source, and we fetch everything ourselves. For large data sets, feel free to send us a drive — we upload it over our 10 Gbit connection and send it back (uploading is free, you only pay return postage). What we don't offer: automatic migration from Dropbox, Google Drive or iCloud — you do that yourself via the official export tools plus drag and drop into your new Nextcloud.

Nextcloud major updates are notoriously moody — incompatible apps, missing database indexes, sometimes data migrations. We roll updates out on a test instance first, then on yours. If something goes wrong, we roll back.

Frequently asked questions
How is Nextcloud Hosting different from storageDRIVE?
Nextcloud Hosting is the complete cloud suite with office, calendars, contacts, Talk and apps. storageDRIVE is the virtual hard drive for any computer — mounted as a drive via SMB, with a full file manager in the browser. If you want to edit documents live or need team calendars: Nextcloud. If you mainly want storage: storageDRIVE.
Can I move my existing Nextcloud to you?
Yes, for a flat €49. Whether you host with another provider, use a managed variant or run it at home — we handle the complete takeover: Nextcloud configuration, database, data directory. Requirement: you give us a backup or SSH access. For very large data sets, send us a drive — we upload it over our 10 Gbit connection (free) and send it back (you only pay postage).
Can I migrate data from Dropbox, Google Drive or iCloud?
We don't offer automatic migration from these cloud providers — they don't give us API access for it. What you can do: use the official export tool at Dropbox / Google / iCloud (e.g. Google Takeout), download the data and move it into your new Nextcloud via drag and drop or the sync client. For very large amounts (several TB): we accept drives and upload for you, free of charge.
What happens when I need more storage?
Upgrading to the next plan works any time without data loss. We only move things internally; your domain and data stay the same. Downgrades work too, as long as the data fits into the smaller plan.
Do I get admin access to the Nextcloud server?
On the shared plans you get admin rights for your Nextcloud instance — install apps, adjust themes, create users. Only we have access to the Linux underneath — that also holds for the server variant, where we look after the system so maintenance and updates run cleanly. What the server variant gives you on top: a completely private instance of your own, with its own user management and the freedom to install any app.
How many users can I create?
As many as you want — we have no limit. You pay for storage, not for users. On the Solo plan (€3/month, 250 GB) you can create 30 user accounts just as easily as on the Practice variant (€60/month, 10 TB). As long as your storage lasts, the plan lasts. That's a deliberate contrast to Google Workspace and Microsoft 365, which bill per user and get expensive fast for families, clubs or small teams.
Which apps are installed, and which can I add myself?
Standard apps like Files, Calendar, Contacts, Activity, Talk, Notes and Tasks are active. OnlyOffice/Collabora is ready to go. From the Nextcloud app store you can enable more apps any time — from bookmarks to mind maps to mail clients.
How many people can work on documents at the same time?
The shared OnlyOffice backend included in every Nextcloud plan supports up to 20 simultaneous editors. Enough for most private, family and club setups. If you regularly need more simultaneous editors (mid-sized teams, schools, your own apps with office integration), we offer a dedicated OnlyOffice server — from €10/month (Community) or with a commercial license for up to 200 connections.
Is Nextcloud Talk enough for my video conferences?
Talk is built for chat and small calls (up to ~25 participants). If you regularly need larger conferences with breakout rooms, whiteboard and recording, BigBlueButton as an add-on is the better tool — from €19/month, fully managed, a dedicated server per customer. Talk and BBB don't rule each other out; many customers run both in parallel.
What about end-to-end encryption?
Nextcloud has an optional E2EE feature for individual folders. We enable it on request — keep in mind that if you forget your password, we can no longer help you either. Data without E2EE is still AES-256 encrypted at rest.
What's the minimum contract term?
The minimum term matches the billing interval: Solo and Family are billed quarterly in advance (3-month minimum term); Family+, Team and Practice monthly (1-month minimum term). Contracts renew automatically for the same period, with a 7-day notice period to the end of the period. With yearly prepayment you get 10% off all plans — open a ticket for that.
What about uptime and maintenance windows?
99.9% availability as a yearly average. We announce planned maintenance by mail at least 48 hours ahead, usually between 2 and 5 a.m. Security updates roll out continuously, without downtime.
What happens to my data when I cancel?
After cancellation you get 14 days to export all your data — via the Nextcloud web interface or WebDAV. We help with the export if there's a lot of data (e.g. by shipping a hard drive). After 14 days the data is deleted in line with the GDPR.
Are there limits on file size or count?
Individual files can be up to 30 GB (via the Nextcloud sync apps). The number of files is not limited — you can fill the 250 GB with two million small files if that's what you want.
