What is xaweho Mailhosting — and who is it for?

Mailhosting is email under your own domain (you@your-domain.com), including everything you expect from a modern office suite today: push mail to your smartphone, calendars, contacts, tasks, shared calendars, webmail. But without the AI that reads your mail, and without the trackers that want to know when you open a message.

We run one large, shared mail server on our own hardware in Germany (powered by Mailcow). You install nothing, configure nothing — we set it up, you use it. We handle the DNS entries together with you; MX/SPF/DKIM/DMARC are set correctly on the server side.

From the Solo account at €2 a month to a club domain with 100 mailboxes at €29 a month — every plan has the same feature set. The only differences are the number of mailboxes and the storage. No stripped-down entry plans where the good features are missing.

Solo and Pro are billed every six months. To keep administrative overhead out of the price, we bill small amounts at longer intervals — that's how the low prices stay low. A 30-day money-back guarantee applies to all plans. Pay the monthly-billed plans (Family and up) yearly and you get up to a 10% discount. All prices include 19% German VAT. In sync on every device

IMAP keeps your mailboxes in sync on iPhone, Android and desktop; CalDAV and CardDAV bring calendars and contacts to all devices. This is exactly what other providers sell as paid “premium” packages.

Calendars, contacts, tasks

Full groupware: CalDAV calendars, CardDAV address book, tasks with due dates. Syncs natively with iPhone, Mac, Outlook, Thunderbird, Android — no third-party app needed.

Shared calendars for family and team

One family calendar for all appointments: mom enters the dentist appointment, everyone sees it. The club board shares the meeting calendar with its members. Fine-grained permissions per calendar — read, write, manage.

Minimal logging — what we don't have, nobody can see

Our mail server logs as little as possible. Traffic logs live fleetingly in RAM and are never stored persistently. In concrete terms: we can't fish through old mail logs, because they don't exist. Mailbox contents sit on encrypted storage, of course — the mail itself is supposed to arrive.

DKIM, SPF, DMARC, MTA-STS — automatic

The four pillars of modern mail authentication — all configured correctly from day one. We sign your mail cryptographically so receiving servers recognize it as genuine. Your reputation grows instead of your mail landing in the spam folder.

A spam filter that gets better

Multi-stage filter with Bayes self-learning, greylisting, DNSBL checks, DMARC validation, URL reputation. The filter learns your preferences per mailbox. A quarantine area for borderline cases — you decide what counts as spam.

App passwords per mail client

Every mail client (iPhone, Mac Mail, Outlook, Thunderbird) gets its own password. Lose your phone, revoke that one password — everything else keeps running. Plus: 2FA for the webmail login (TOTP, U2F, WebAuthn).

Throwaway addresses with an expiry date

Need an address for a single sign-up? Generate temporary aliases that expire automatically after 24 hours or 30 days. Spam protection and newsletter-tracking avoidance in one click.

On the Family, Team and Club plans you manage your domain yourself: create mailboxes, maintain aliases, set passwords. A dedicated UI for domain admins — nothing technical, everything in one interface.

Migration self-service — or assisted

Coming from another provider? The mailbox backend includes a free IMAP migration tool: enter your credentials at the old provider, the sync runs in the background, no data loss. Contacts and calendars come over via export/import. If you'd rather have us do it, we take over the complete migration as a paid option billed by effort — and we always assist with the DNS switch on request, so no mail gets lost when you change providers.

From the Family plan up, we register a .de domain for you. Already have one? Keep it — we connect it. Need a new one? We search, register and set it up, without you having to deal with a domain registrar.

    Pick a plan

    Choose the right plan in the customer center — Solo, Pro, Family, Team, Club or Business. Solo/Pro are billed every six months, the rest monthly. Once payment is in, we review the order manually and typically set up your mailbox within 24 hours.

    Bring or order a domain

    Already have a domain? Keep it — we connect it. Need a new one? Included from the Family plan up (one .de). We search, register, set it up.

    DNS entries

    We give you the MX, SPF, DKIM and DMARC values. Enter them at your domain registrar — we help with guides. If your domain is registered with us, we do it ourselves.

    Create mailboxes

    In the domain admin web UI: enter mailbox address, password, quota. Aliases and catchall live there too. Multiple mailboxes: one click per address.

    Set up your mail client

    On most smartphones, email + password is enough — auto-discovery finds the server settings. Otherwise: IMAP/SMTP details are in our knowledge base, with setup guides for the most common mail clients.

    Migration (optional)

    Two ways: (a) You use the built-in IMAP migration tool in the mailbox backend yourself — enter your credentials at the old provider, the sync runs in the background. That's free and covers most standard providers. (b) You let us handle the complete migration — billed by effort, with a transparent estimate up front. We always assist with the DNS switch on request: we look at the existing MX, SPF, DKIM and DMARC records, plan the change with you and verify after the switch that nothing gets lost.

Frequently asked questions

Why are Solo and Pro billed every six months only?
Bookkeeping for €1.99 a month costs us more than we earn — invoicing, payment processing, the occasional chargeback. With six-month billing, the monthly price stays low and we still earn something. The 30-day money-back guarantee applies to six-month plans too, of course.
What about the included .de domain?
From the Family plan up, a .de domain is part of the price — we register and manage it for you. On Solo and Pro you bring your own domain (domain registration is available separately from ~€10/year at any registrar).
What does “minimal logging” mean?
Mailbox contents land on encrypted storage, of course — otherwise no mail would arrive. But traffic and connection logs (who connected when, from where) stay fleetingly in RAM and are never stored persistently. What's not on disk, nobody can search later. For GDPR access requests, there's correspondingly little we can hand over.
Can I migrate from Microsoft 365 / Google Workspace?
Yes. The mailbox backend has a built-in IMAP migration tool — enter your old provider's credentials there and the sync runs automatically in the background. That's free in self-service. If you'd rather have us do it: gladly — billed by effort, with a transparent estimate up front. Contacts and calendars come over via export/import either way (Google Takeout, Outlook export, or via CardDAV/CalDAV). We always assist with the DNS switch on request, so no mail gets lost.
How many mailboxes per plan?
Solo and Pro: 1 mailbox. Family: 5. Team: 25. Club: 100. Business: unlimited. There's a quota per mailbox and a pool across the domain — whoever needs more takes more; the pool is what counts in total.
How does mail get to my iPhone and my Android phone?
Via IMAP — every mail app can do that, and your mailboxes stay in sync on all devices. Apps fetch new mail at short intervals; clients with IMAP IDLE support react almost instantly. Calendars and contacts come along via CalDAV/CardDAV.
Can I use calendars and contacts with Outlook?
Yes — with the free CalDav Synchronizer plugin, calendars and contacts land in Outlook, and mail runs classically via IMAP/SMTP. The setup is documented in the knowledge base.
What does a second or third domain in the same plan cost?
Typically €1.99/month per additional domain (or the pro-rated equivalent on the six-month plans). Open a ticket if you need this.
What happens when I cancel?
Solo/Pro: at the end of the paid six months, with money back within the first 30 days. Family/Team/Club/Business: cancel monthly. Before the contract ends, we export your mail as a standard mbox file — you can take it to any other provider.
Is there a minimum term?
Solo/Pro: 6 months (six-month billing). Family/Team/Club/Business: cancel monthly, no minimum term. Pay the monthly-billed plans yearly and you get up to a 10% discount.
What if a mailbox starts sending spam (hacked account)?
A per-mailbox sending limit kicks in immediately, the account is locked automatically, and we notify you. You change the password, the mailbox is back up. That protects your server reputation and ours.
What about uptime?
We aim for 99.9% availability as a yearly average. Our own monitoring checks all mail services every minute, with 24/7 alerting. On hardware failure, failover to a second machine; mailbox backups are mirrored across sites.
