Your own mail server

Your own mail server built on Mailcow — your own instance, your own sending IP, unlimited domains and mailboxes, billed by storage. From €29/month.

With Mailhosting you share the server with others and get one domain. Here you get the whole machine: your own Mailcow instance with its own sending IP, as many domains and mailboxes as you want, and the complete admin interface. Updates, backups, monitoring and ticket support are on us — mail policy is on you. Billed by storage, not per head.

  • Your own Mailcow instance with its own sending IP — no shared server, no IP pool
  • Unlimited domains, mailboxes and aliases — you only pay for storage
  • 7-day backup, updates, monitoring, ticket support included — ready within 24–48 hours

What is this?

A mail server that belongs to you alone.

A mail server receives your email, stores it, filters spam and sends what you write. At most companies it sits invisibly with a big cloud provider or the web host — billed per mailbox, with rules somebody else sets. With xaweho Mailhosting you share our Mailcow server with other customers and get one domain with mailboxes. With the Mail Server you get a Mailcow instance of your own: your own virtual machine, your own sending IP, your own admin interface.

That changes what you can do: as many domains, mailboxes and aliases as you need — per company, per brand, per client. Your own spam-filter rules, your own quarantine, your own Sieve filters for whole domains, your own user and permission management. Mailcow ships with SOGo: webmail, calendar, contacts and tasks in the browser, push mail to your phone.

It stays managed all the same: we provide the machine, set up SPF, DKIM, DMARC and MTA-STS, apply updates after testing, back up daily and keep an eye on the server around the clock. And we tell you before you order what does not work: no Exchange mode for desktop Outlook, no newsletter bulk mailing, no compliance mail archiving.

Migration

We move you in.

Moving a mail server is the reason companies stay with Exchange or Microsoft 365 even though they do not want to. That is why we do it at a fixed price — and free of charge in all plans up to and including January 31, 2027.

What the migration package includes:

  • Domains, mailboxes, aliases and distribution lists created from your list
  • Mailboxes taken over from the old system via IMAP sync — you keep working, we keep syncing
  • DNS plan with MX, SPF, DKIM, DMARC and MTA-STS — checked before the switch
  • Calendars and contacts: export guide or import by us
  • Switch date agreed, final sync after the MX change — you keep the old account running alongside until you are sure, and only then cancel it there
  • Setup guides for every mail client from our knowledge base — Outlook, Apple Mail, Thunderbird, iPhone, Android

More than 50 mailboxes, PST archives or special cases: fixed-price quote via ticket up front. Small extras outside the package — additional forwards or filters, say — are billed as hands-on work: €25 per started 15 minutes, announced beforehand.

Launch offer

Launch offer: all migration packages are free of charge in all plans up to and including January 31, 2027.

Migration S up to 10 mailboxes €149 €0
Migration M up to 25 mailboxes €299 €0
Migration L up to 50 mailboxes €499 €0

Regular prices are one-time and apply from February 1, 2027. Name the package when ordering or request it via ticket — we get back to you with the schedule.

Mailhosting or your own server?

The direct comparison.

Both run on Mailcow, both are managed, both sit in Germany. The difference is how much server you get — and how much you want to decide yourself.

Features

What your own instance gives you.

Four things you should know before ordering.

Your own instance, your own IP

Your Mailcow runs on its own virtual machine and sends through a sending IP that belongs to you alone. What your neighbor does is none of your concern — there is none. Your IP's reputation is your reputation, and we help you build it.

Flat rate instead of per head

Ten mailboxes, forty mailboxes, three domains, eight domains — none of it changes the price. You pay for the storage your mail occupies. Per-mailbox billing loses from a handful of people on.

Admin rights, operations with us

You create domains, mailboxes, aliases, quarantine rules and filters yourself — in the complete Mailcow interface. The operating system, the Mailcow version, certificates, backups and monitoring stay with us. If you would rather have us do something: ticket, €25 per 15 minutes.

Migration at a fixed price

Mailboxes via IMAP sync, DNS plan, switch date, final sync — as a package with a fixed price, not by the hour. Up to and including January 31, 2027 it is free of charge in all plans. After that from €149.

Also included in every plan

  • Your own Mailcow instance — your own virtual machine, just for you
  • Your own sending IP with matching reverse DNS — no shared pool
  • Unlimited domains, mailboxes, aliases and distribution lists
  • The complete Mailcow admin interface — you are the admin, not just a user
  • SOGo: webmail, calendar, contacts, tasks — shared in the team, push to your phone
  • Spam filter with quarantine, Sieve filters per user and per domain
  • SPF, DKIM, DMARC and MTA-STS set up by us — we check your DNS records on request via ticket
  • Daily backup, kept for 7 days — 30 days as an add-on
  • Updates after testing, monitoring around the clock, certificates automatic
  • Ticket support from the three engineers who run the server — hands-on work €25 per 15 minutes
  • Located in Germany · ready within 24–48 hours · cancel monthly · no setup fee

Plain talk

What we deliberately do not offer.

Some things exist with Exchange or with volume providers, not with us — and we say so before you order:

  • ! Exchange mode for desktop Outlook. Mailcow speaks IMAP, SMTP, CalDAV and CardDAV — no MAPI. Outlook on Windows works via IMAP plus a calendar plugin, not with Exchange comfort. Webmail, iPhone, Android, Thunderbird and Apple Mail work completely.
  • ! Newsletters and bulk mailing. Ten thousand recipients a day ruin your sending IP's reputation — there are specialized mailing services for that. Your mail server is for your company's mail.
  • ! Compliance mail archiving. A backup is not an archive: it keeps yesterday's state, not every email permanently. If you need an archive, you add it on top.
  • ! A sending IP with a reputation from day one. Your IP is new, and large receivers watch new senders first. The first weeks need patience and normal volumes — we accompany that, but we do not promise a delivery rate.

What sets us apart

Your server. Your IP. Our operations.

Vorteil 01

Everything included that others sell separately.

Support, 7-day backup, your own IP, monitoring — with some managed Mailcow offers each of these is a separate subscription. With us it is all in the monthly price, and that price is cancellable monthly.

Vorteil 02

Your IP, your reputation.

A sending IP of your own per customer costs more than a pool, but it has an advantage worth paying for: nobody else can damage your deliverability. We set up reverse DNS, SPF, DKIM and DMARC and accompany the reputation build-up — with the guide from our knowledge base and via ticket whenever something sticks.

Vorteil 03

We tell you what does not work.

No Exchange mode for desktop Outlook, no bulk mailing, no compliance archiving, no sending IP with a reputation from day one. It is written here before you order — not in a ticket afterwards.

Vorteil 04

We move you in.

The move is the biggest hurdle when switching mail servers — so we do it at a fixed price, and free of charge up to and including January 31, 2027. You give us the list of mailboxes, we give you the switch date.

Vorteil 05

No vendor lock-in.

Mailcow is open source, your mail is stored in standard formats, export via IMAP any time, cancel monthly. If you ever want to self-host, you simply move. If you need help with that, the hands-on rate applies: €25 per started 15 minutes.

Setup

From order to first email.

We set up your instance within 24–48 hours — then you create domains and mailboxes, or let us handle the move.

  1. 1

    Order a plan

Pick a storage size, order. We set up your Mailcow instance, assign your sending IP with reverse DNS and switch on monitoring — within 24–48 hours. Afterwards you will find the credentials for the admin interface in the customer center and in the activation email.

  2. 2

    Create domains and mailboxes

In the Mailcow interface you create your domains, mailboxes, aliases and distribution lists. For every domain Mailcow shows you the DNS records to set at your domain provider — MX, SPF, DKIM, DMARC. We check them on request via ticket.

  3. 3

    Move in or start fresh

Existing mailboxes you pull from the old system via a sync job — or you book a migration package and we handle the move up to the switch date. New mailboxes are usable right away.

  4. 4

    Set up your clients

Webmail works immediately, phones via profile, Thunderbird and Apple Mail via autoconfig. For Outlook on Windows there is a dedicated guide with a calendar plugin: set up Outlook. All guides live in the knowledge base.

Stuck? Open a ticket — questions and incidents cost nothing. Hands-on work in your instance is billed at €25 per started 15 minutes, announced beforehand.

Frequently asked questions

How is this different from Mailhosting?
With Mailhosting you share our Mailcow server with other customers: one domain per plan, mailboxes according to plan, sending via our server IP. With the Mail Server you get your own Mailcow instance with its own sending IP, unlimited domains and mailboxes and the complete admin interface. If everything lives under one domain — even with many mailboxes — Mailhosting is right; if you want several domains, your own sending IP or your own rules, the Mail Server is.
From when does it pay off against per-mailbox subscriptions?
Per-head providers typically charge between around €4 and €10 per mailbox per month. The €49 plan with 250 GB costs €4.90 per mailbox with 10 mailboxes, €1.96 with 25, 98 cents with 50 — and still €49 with 100 mailboxes. From a handful of mailboxes you are ahead, and with every additional one the gap grows.
Does Outlook work?
With limitations, and we tell you beforehand: Mailcow offers no MAPI, so no Exchange mode. Outlook on Windows works via IMAP/SMTP for mail and with the CalDav Synchronizer for calendars and contacts. The new Outlook and Outlook for Mac no longer support ActiveSync. If you need Outlook with full Exchange comfort, we are the wrong choice — every other client works completely: webmail, iPhone, Android, Thunderbird, Apple Mail, eM Client.
Why a sending IP of my own — and what does warm-up mean?
Every mail server with us gets its own IPv4 address with matching reverse DNS; nobody else sends through it. The price for that: a new IP has no reputation yet. Large receivers watch new senders during the first weeks and admit volumes only step by step. Send normally during that time, not in waves, keep SPF, DKIM and DMARC clean — we set them up — and read our article on mail reputation. If you see bounces, send us the headers via ticket — we look at it together.
What exactly does the migration cover — and what does it cost?
We create domains, mailboxes, aliases and distribution lists from your list, pull the mailboxes from the old system via IMAP sync, deliver the DNS plan, agree the switch date with you and run the final sync after the MX change. Three packages at a fixed price: up to 10 mailboxes €149, up to 25 mailboxes €299, up to 50 mailboxes €499 — free of charge in all plans up to and including January 31, 2027. Beyond that, or for special cases such as PST archives, you get a fixed-price quote up front.
Do I get root access via SSH?
No. You get the complete Mailcow admin interface — domains, mailboxes, filters, quarantine, user permissions, everything. The operating system underneath is maintained by us — otherwise we cannot take care of updates, backups and monitoring. If you want to manage the machine entirely yourself, take a Dedicated Server and install Mailcow on it.
What does help cost if I do not want to do something myself?
Questions about the product and incidents are covered by ticket support. Hands-on work in your instance — creating mailboxes, building filters, reworking forwards — is billed at €25 per started 15 minutes. We tell you our time estimate beforehand, never afterwards.
How is my mail backed up?
Daily, kept for 7 days, at a second one of our German sites. A mailbox or your entire instance we restore for you from the backup via ticket; individual emails are hands-on work. If you want to go back further, book the 30-day backup add-on for €9/month. A backup is not an archive: for retention obligations you need a dedicated archiving solution.
How soon is my mail server ready?
Within 24–48 hours of your order. We set up every instance individually — machine, Mailcow, sending IP with reverse DNS, monitoring, backup — and then send you the credentials. There is still no setup fee — but no provisioning in minutes either.
Can I move to a bigger plan later?
Yes. You request the change in the customer center, we enlarge your instance's storage and bill pro rata — your mail, domains and settings stay where they are.
Where is my mail stored?
At one of our three German sites, on our own hardware in our own racks. The backup lives at a second site. A data processing agreement is available in the customer center.

Your own mail server. Move included.

Your own Mailcow instance, your own IP, unlimited domains and mailboxes — and we move your mailboxes over, free of charge up to and including January 31, 2027. Pick a size, order, and your server is up within 24–48 hours.
