The Nextcloud app store offers OnlyOffice and Collabora as “all-in-one” apps that install with one click. Sounds tempting — and for private users with occasional editing, it’s often enough. But under more serious multi-user use, the app-store variants hit clear limits. Here’s what happens and why dedicated servers are the better choice.
What app-store office packages do
When you install “Collabora Online (built-in CODE)” or “ONLYOFFICE Docs Community” from the Nextcloud app list, the apps pack a complete office engine into a single container running directly on the Nextcloud server.
That means:
- The office engine shares CPU, RAM and disk I/O with Nextcloud
- Office processes compete with the web server, the database, the cron job
- Under office load, Nextcloud’s overall response time suffers
In single-user setups you won’t notice a thing. With 5+ parallel editors, the server turns sluggish — logins take longer, file lists load slower, sync clients time out.
The concrete problems
1. Resource conflict
Office is CPU- and RAM-hungry. When three users edit a 50 MB Excel file in parallel, the office engine eats 2–4 GB of RAM. On a shared Nextcloud server built for file sync, that’s a problem.
We’ve seen setups multiple times where the entire Nextcloud server became unresponsive because office sessions burned through the memory.
2. Crash blast radius
When the office engine in the app-store variant crashes (it happens — complex files, memory limits, race conditions), it often takes Nextcloud functions down with it:
- Web server workers hang
- Sync clients lose their connection
- User logins stop working
With a dedicated office server: if it crashes, only the office function is affected — Nextcloud files, sharing, calendar etc. keep running.
3. Co-editing limits
The community versions have hard limits:
- OnlyOffice Community in the app store: 20 parallel editors across all files
- Collabora CODE in the app store: performance limit at ~5–10 parallel editors
In larger setups, you hit those quickly. Users get “Document is busy” errors, files won’t open.
4. Update complexity
Office engine updates come separately from Nextcloud updates. With the app’s auto-update, incompatibilities can arise — we’ve seen setups multiple times where the office app wouldn’t start after a Nextcloud update.
With a dedicated office server, we handle both update tracks separately — clean.
5. Scaling limits
App-store variants are monolithic. If you need more office performance, there’s nothing to scale except growing the entire Nextcloud server (which is expensive).
With a dedicated office server: scale just the office part, without touching Nextcloud.
When the app-store variant is okay
Despite all the problems, the app-store variant is pragmatic in some cases:
- Private use with 1 person: practically no problems
- A small family with 2–3 occasional editors: mostly stable
- Test setups: fine for trying things out
Our recommendation: up to 3 parallel editors, app-store variant. From 5 in parallel: dedicated server.
When a dedicated server is a must
- Companies with regular multi-user editing: parallel users daily
- Club setups with board work: when 5+ people work on meeting minutes
- Medical practices / law firms with collaborative documents
- As soon as office performance is critical to the workflow

Frequently asked questions
How do I notice my setup hitting its limits? Symptoms: users report “office loads slowly”, “Document is locked” errors, browser timeouts when opening files, Nextcloud generally more sluggish than usual. Server-side logs often show memory spikes.

Can I go back to the app-store variant later? Yes, anytime. The setup effort for switching is no problem.
What if I have problems with the app-store office version? Open a ticket. We’ll check whether it’s fixable (sometimes just a configuration tweak), or recommend switching to a dedicated server.
Does E2EE work with a dedicated office server? For files in end-to-end encrypted folders: no, neither office variant can open an E2EE file. That’s by design — the office server would have to be able to decrypt, which breaks the point of E2EE.
Which location does the dedicated OnlyOffice server run at? By default, the same location as your Nextcloud — usually Düsseldorf. On request also elsewhere (Nuremberg, Falkenstein), but that costs extra latency on office operations.
