Mac hardware without a backup is a risk — if the internal SSD dies, everything is gone. Time Machine is Apple’s own backup system, simple and reliable. The classic setup: an external SSD on the Mac via USB-C. We supply the SSD, you configure Time Machine.
Why backups matter
Concrete scenarios from our experience:
- Mac hardware defect → we replace the Mac, but all data is gone
- Accidentally deleting an important file
- A macOS update breaks something
- A plugin/tool installation makes the system unstable
- Hack/malware (rare on macOS, but possible)
In all these cases: Time Machine gets you back online in 5–30 minutes.
Ordering the USB-C SSD as an add-on
In the customer center at mein.xaweho.de or via a ticket (mein.xaweho.de/kontakt). Four sizes: 1, 2, 4 or 8 TB — current prices are on the product page at /en/apple-nas/mac-mini.
We buy the SSD, attach it to the Mac via USB-C, and handle hardware replacement if it fails.
Delivery time: typically 2–3 working days.
Which size for Time Machine
Rule of thumb: at least 1.5–2× your used Mac SSD capacity.
- Mac with a 256 GB SSD, 100 GB used → a 500 GB–1 TB backup SSD is enough
- Mac with a 1 TB SSD, 800 GB used → 2–4 TB backup SSD
- Mac with a 1 TB SSD, completely full → at least 4 TB for usable history
Time Machine keeps multiple versions, not just the current state. More storage = more history.

Enabling Time Machine
Once we’ve attached the SSD:
On the Mac via AnyDesk
- System Settings → General → Time Machine
- Click + add backup volume (or directly: “Add…”)
- Choose the external SSD (typically named “TM Backup” or similar)
- Encrypt volume: yes (see below)
- Set a backup password — store it safely, this matters
- Keep backups: “As long as space is available” or a specific number of days
Time Machine starts the initial backup immediately. Takes 1–5 hours depending on how much is on the Mac’s SSD.
Encryption — yes or no
We recommend yes:
- Against hardware theft (theoretically unlikely in our rack, but security is good)
- If we replace hardware: without the encryption password, nobody can get at the backup contents
Important: keep the backup password safe. Lost = backup unusable. We can’t help either.
Backup frequency
By default, Time Machine keeps:
- Hourly backups (the last 24 hours)
- Daily backups (the last month)
- Weekly backups (all earlier months)
The oldest backups are deleted automatically when the SSD fills up.
The default behavior covers 99% of all cases.
What Time Machine backs up
- All user data (
/Users/) - macOS system files
- Applications
- Settings
- Hidden files
Excluded by default:
- Caches (
~/Library/Caches) - Temporary files
- Some system logs
You can exclude additional paths: Time Machine → Options → Exclude.
Sensible for example for:
- Huge build caches (Xcode derived data)
- Docker images (if you run Docker on the Mac)
- The Downloads folder
Restore scenarios
Restoring a single file
- Click the Time Machine icon in the menu bar (or via Spotlight: “Time Machine”)
- Browse Time Machine
- Move the time slider to the desired version
- Select the file → Restore
Restore to the original directory or elsewhere.
Full macOS restore
The classic “after a Mac defect” workflow:
- We replace the Mac hardware (1–2 working days for an M4, longer for an M1)
- You get access to the new Mac via AnyDesk
- On the new Mac: open Migration Assistant (Applications → Utilities)
- Restore from Time Machine
- Select the external SSD, enter the backup password
- Choose what to restore (apps, users, settings)
- The migration runs — 30–90 minutes depending on backup size
Result: the Mac looks like it did before the defect, all data back.
Restoring a specific state from X days ago
Browse Time Machine → time slider to the desired date → restore individual files or a whole folder.
Time Machine plus AnyDesk
While a Time Machine backup is running:
- AnyDesk performance slightly reduced (disk I/O)
- The Mac feels a bit sluggish during intensive backup phases
- The initial backup is the most intensive
Recommendation: let the initial backup run at night; after that it works in the background.
Pitfalls
”The backup could not be completed”
Common causes:
- Flaky USB-C SSD connection (rare in our rack)
- A macOS update interrupts the backup
- The SSD is out of space
Solution: in System Settings, Time Machine → repair, or start a fresh initial backup.
The SSD fills up, the backup hangs
Time Machine automatically cleans up old backups when the SSD fills up.
If that’s not enough: book more storage (upgrade to the next SSD size).
Backup password forgotten
The backup is unusable. We can’t help either — that’s Apple’s end-to-end encryption.
Hence: store the password in a password manager (1Password, Bitwarden) right at setup.
Time Machine too slow
USB-C SSDs are fast (typically 1+ GB/s). If the backup still crawls:
- Other workload on the Mac (CI build running in parallel?)
- macOS Spotlight is indexing the SSD → exclude the SSD in Spotlight privacy settings
- Reduce the backup frequency with tools like TimeMachineEditor (every 6 hours instead of hourly)
Combined strategy: USB SSD + Synology
The best security strategy is both:
- USB SSD on the Mac: fast, local backup for most restore cases
- A Synology in our rack: off-Mac backup for “both break at once” scenarios

Time Machine can only have one volume as its primary target — but Apple supports multiple Time Machine volumes: hourly backups to the USB SSD, separate daily backups to the Synology.
Frequently asked questions
How long does the first backup take? With 200 GB used on the Mac, to a USB-C SSD: ~30–60 minutes. USB-C is fast.
What if the Mac user account gets deleted? Time Machine backs up at the user level — all users of the Mac are included. After a user deletion, you can restore the backed-up state.
Backups are encrypted — can they be read “externally”? Only with the password. We can’t decrypt them without the password either.
What happens to the backup if I cancel the Mac? We give you a way to hand over the data — either we ship the USB SSD to you (for a handling fee) or you download the Time Machine image as a ZIP.
Time Machine on an APFS-formatted SSD? The default. macOS formats the SSD as APFS during initial setup. The older HFS+ works too, but APFS is more modern.
Backing up several Macs in our rack to one SSD? Time Machine prefers 1:1. One SSD per Mac. Exception: via the Synology backup, several Macs could back up to one central target.
Time Machine plus iCloud backup? iCloud only backs up Apple-specific data (iCloud Drive, Photos). Time Machine backs up the whole system. Running both in parallel makes sense.
What if the Mac is defective but the USB SSD still works? We take the SSD out of the old Mac and attach it to the new one. Time Machine restore via Migration Assistant — all data back.
